Title: Logistics Coordinator
Program: Workforce and Higher Access to Markets Activity
Location: Sarajevo, Bosnia and Herzegovina (BiH)

Workforce and Higher Access to Markets (WHAM) Activity is a three-year USAID-funded program. WHAM will add critical capacity to high-growth, exporting and export-ready firms through grants to provide technical assistance, training and productive assets in the areas or workforce development, market access, product quality and technology. WHAM focuses on small and medium enterprises development in three key sectors: wood processing, metal processing, and textile/apparel. 
The logistics coordinator supports daily administration, implementation, and compliance of all activities under WHAM. The logistics coordinator will primarily be responsible for coordinating all international volunteer assignments logistics, orientation, on-ground support, and post-assignment follow-up. The coordinator will also conduct all local volunteer administration, including answering volunteer inquiries, updating volunteer platforms and calendars, following a volunteer intake process, sending invoices, confirming airport pick-up, coordinating transportation. The logistics coordinator is also responsible for answering calls to the WHAM office, greeting visitors, relaying messages, and scheduling appointments as needed. The logistics coordinator is based at the WHAM Sarajevo office and reports to the deputy chief of party.
Specific responsibilities include, but are not limited to the following:
General Office Management
  • Provide general administrative and clerical support
  • Prepare agendas for meetings and prepare schedules, coordinate staff travel plans and make arrangement accordingly
  • Create and maintain filing system for program operations
  • Take and direct telephone calls, receiving and directing visitors 
  • Word processing, creating spreadsheets and presentations as requested
  • Resolve administrative problems and inquiries
  • Maintain office supply inventories and coordinate maintenance of office equipment
  • Coordinate logistical and supply needs for the Banja Luka office 
  • Prepare correspondence and documents
  • Receive and sort mail and deliveries;
Volunteer and consultant logistics
  • Serve as a point of contact for volunteer and consultants logistics coordination
  • Maintain a database repository for all local and international volunteers
  • Conduct orientation and country introduction for both international and local volunteers
  • Coordinate volunteer schedules, timetables, and meetings
  • Serve as a point of contact for all volunteers to resolve administrative issues
  • Help volunteers plan and implement events such as field trips and trainings
  • Assist updating volunteer value reporting system to record volunteer cost-share and collect feedback form host organizations/ beneficiaries
  • Support communications and reporting for overall project, as needed
  • Perform tasks as assigned by the supervisor or project director 
  • A minimum of 3-year experience in administrative role
  • Previous experience working with international development organizations or international donors preferred
  • Knowledge of administrative and clerical procedures 
  • Experience managing and coordinating volunteers/ consultants preferred
  • A minimum of graduate degree required, university graduate preferred
  • Exceptional written and oral communication skills required
  • Work well under minimal supervision and be self-motivated
  • Strong interpersonal and team building skills
  • Proficiency in Microsoft Office
  • Work well with team of local staff, foreign staff, and international volunteers
  • English fluency required
  • Maturity, professionalism and positive attitude
